Improve existing systemsAllocation and reconciliation

Helping a trading platform reconcile refunds with allocation receipts

The platform had connected payments, but finance compared allocation and refund records manually. We linked orders, rules and payment-provider receipts so each refund had a traceable basis and execution status.

Client: a platform connecting merchants and buyers. Teams: finance, operations and merchants. End users: shoppers.

01

Payment execution and business records did not align

Orders, allocations and provider receipts used different identifiers. Partial refunds made it harder to explain each participant's adjustment across exported files.

02

Separate business calculations from provider execution

We checked order identity, allocation and refund rules and existing interfaces. The business system retains calculation evidence; fund movement follows the payment provider's execution results.

03

Connect execution results to refund history

Requests, receipts, refunds and adjustments share references, with repeated notifications identified. Finance can review differences against the original order and rule version.

04

Make differences explainable

The platform and merchants access their own records, with named owners for exceptions. Interface mappings, reconciliation rules and recovery guidance support ongoing transaction management.
