Improve and grow operationsAllocation and reconciliation

Helping finance investigate exceptions instead of comparing every row

Growing volume meant repeated searches across orders, refunds and provider statements. We aligned reconciliation definitions and grouped missing, duplicate and amount differences, retaining review evidence and resolution history.

Client: an established multi-merchant trading platform. Teams: finance, operations and technical maintenance.

01

Routine trading created a growing reconciliation burden

Different dates, statuses and identifiers complicated comparisons. Once a difference was found, staff still had to locate the relevant refund, adjustment or receipt.

02

Make comparable records use the same definitions

We agreed periods, states, fees and refund handling while preserving original statements. System calculations remain distinct from confirmation that funds were actually executed.

03

Classify differences and record their resolution

The workbench links orders, allocations and provider statements. Reviewers inspect source details, document their decisions and track missing, duplicated, status or amount issues.

04

Support shared review and handover

Finance can allocate work by exception type and managers can inspect outstanding items. Mapping and rule documentation support new transaction sources and ongoing maintenance.
