Build a new serviceContracts and workflows

Helping a project business connect internal approval and multi-party signing

The new service required several approvers and signing parties, with document versions and supporting materials to coordinate. We mapped roles and sequence before connecting approval, signing and archiving into one workflow.

Client: a business delivering multi-party projects. Teams: project staff, approvers and records managers. Signers: project counterparties.

01

Several parties needed to agree on the same version

Materials, comments and contract versions were forwarded separately. Signing order and supplementary evidence needed explicit rules, beyond adding a signature button.

02

Settle parties, versions and sequence first

We mapped templates, approval authority, signers and return paths and checked the chosen signing service, prioritising defined workflows before adding more contract types.

03

Link each decision to the version it approves

Materials, approval routing, signing requests and status tracking share version records. Changes trigger appropriate review instead of reusing approvals that no longer apply.

04

Give every participant a clear next step

Staff see their worklists and counterparties follow the agreed signing process. Role matrices, return rules and maintenance guidance support later projects.
