Improve existing systemsContracts and workflows

Helping a business connect signed contracts to orders and customer records

The client already used electronic signing, but approval, orders and signed files remained separate. We retained its signing service and connected business identity, approval states and archiving for reliable lookup and follow-up.

Client: a company using electronic signing. Teams: business staff, approvers, finance and records managers. Signers: business counterparties.

01

A signed file was still difficult to match to its business

Staff switched between approval, operational and signing tools. Without a stable order reference, amended agreements were hard to distinguish from the current version.

02

Define how the business and document relate

We checked signing interfaces, references, templates and file permissions, retaining the existing provider and distinguishing approval, dispatch for signature, completion and archiving.

03

Return signing status and files to the original record

Approval, requests, provider callbacks and archives retain versions and sources. Repeated callbacks are recognised, failures can be retried and file access follows permissions.

04

Let staff start from the business record

Authorised teams can find status and documents alongside the order. Field mappings, configuration and archiving guidance support future maintenance and handover.
