Helping a hotel keep its PMS and align channel inventory

The hotel had invested in a PMS but still reconciled channel bookings manually. We mapped room types, dates and reservations, separating saleable inventory from housekeeping status and adding visible exception handling.

Client: a hotel selling through several booking channels. Teams: reception, reservations and housekeeping. End users: guests.

01

A working PMS still left channel checks to staff

Room names, booking states and update times differed across channels, while inventory available for sale was sometimes confused with rooms ready for occupation.

02

Separate availability from readiness

We checked interfaces, room-type mappings and cancellation rules, retaining useful PMS records and routines while distinguishing date-based inventory from actual room readiness.

03

Handle failed updates alongside normal bookings

The integration records booking changes, cancellations, source and update results. Duplicate notifications are recognised, and failed updates have an accountable resolution path.

04

Make inventory changes explainable

Reception can trace an exception to its booking and synchronisation history. Mapping tables, interface documentation and recovery guidance support ongoing channel management.
